Professional Conference Organizer (PCO) Intern
We are a global engagement marketing agency that creates human-centric touchpoints that unleash the power of people to deliver innovation and growth. Firm believers in the power of building community since 1987, we are helping brands, associations and not-for-profit organisations solve their key people challenges through our core expertise: Live & virtual events, Strategic & digital communications and Consulting & community solutions.
We are an independently owned agency, headquartered in Geneva, Switzerland, with a global presence of 60 offices in 31 countries.
Are you looking for a challenging internship in our office in The Netherlands, in which you work independently? Do you want to gain experience in customer service for a range of International congresses, from 150 – 5.000 participants?
Then read on quickly!
Our internship programme is designed to offer students the chance to learn what it really takes to organise a conference on an (inter)national level. Students are fully involved in the entire life cycle of the project management process and by working within an Agile project team, they have a chance to gain an in-depth understanding on all facets of a Professional Conference Organizer. Treated like regular employees, students will have the opportunity to assist online or onsite event(s) in Europe (and possibly beyond) if timely.
Each intern has a mentor assigned, who is supervising the work of the intern, but is also coaching and guiding them throughout the duration of the internship. The intern will be fully integrated in the department and will be working on the assigned projects.
What are you going to do?
The PCO team is working on several projects at the same time. We work very closely together and share the responsibility for the successful outcome of the projects. This creates a great flexibility in gaining knowledge in the full scope of a project, from delegate management to sponsorship & programme management, from client meetings to budget creation. Together with your internship mentor you will decide on your tasks for the day or week. For example, you will:
-
provide customer support to participants, sponsors and VIPs for a wide range of international congresses (via telephone, e-mail)
-
maintain the delegate management database in our dedicated registration system
-
keep on top of timelines and priorities set on every event
-
assist participants (individual and groups) with congress registrations
-
keep records of customer interactions and send payment reminders
-
actively be involved with project planning and reporting
-
assist in collecting and comparing supplier quotations for the purpose of correct conference budget estimations
-
Explore and contribute to digital solutions such as event mobile apps and websites
-
have an active role in internal project meetings
-
help with editing and proof-reading documents
-
assist during conferences (if timeframe internship allows) (physical, hybrid and virtual)
