We are looking for an EU Event Coordinator with around 2 years’ relevant experience, ideally in meetings for 30–150 participants. Experience with interpretation management, basic AV set-ups and hybrid meeting formats is an asset. In this role, you will take ownership of assigned meetings, working independently while staying closely connected with EU Event Managers and the EU Senior Event Coordinator.

 

Your key responsibilities

Event coordination:

  • Coordinate assigned meetings and event workstreams for the European Commission and other EU institutions and agencies, taking ownership of day-to-day planning, delivery and follow-up
  • Manage several meetings and related tasks in parallel, ensuring priorities, deadlines and details are followed up accurately
  • Support the sourcing, briefing and coordination of third-party suppliers in line with MCI’s procurement guidelines
  • Act as a day-to-day contact for clients, internal teams and suppliers on assigned tasks, ensuring clear communication, timely follow-up and accurate information sharing

Operations, logistics & onsite/online delivery:

  • Coordinate event logistics, including venues, AV and hybrid solutions, catering, travel, accommodation, speaker support and interpretation requirements
  • Support or lead onsite and online delivery for assigned lower-complexity meetings and event formats
  • Resolve operational issues in real time within delegated authority, escalating risks or decisions where required

Registration, delegate management & platform setup:

  • Manage registration and delegate processes for assigned meetings, including participant communications, data accuracy and standard event platform setup and configuration
  • Support the testing and delivery of event technology solutions

Budget & financial control (event‑level):

  • Control event-level budgets for assigned meetings, including cost tracking, commitment control, and purchase order and invoice alignment
  • Support supplier negotiations within delegated authority and flag any budget variances, risks or inconsistencies early to the Event Manager

 

Your profile

 

  • Have at least 2 years’ experience in meetings and events management, ideally with exposure to meetings involving interpretation, basic AV set-ups and hybrid meeting formats
  • Be eligible to work in the EU and fluent in English, both spoken and written; additional EU languages are an asset
  • Be customer-focused and comfortable combining onsite delivery with desk-based coordination and administrative follow-up, while working in a solution-oriented way within agreed team processes and guidelines
  • Be well organised and able to manage several meetings, priorities and deadlines at the same time while maintaining accuracy and attention to detail
  • Work independently while collaborating effectively with the wider team, listening actively and communicating clearly
  • Be proactive and adaptable, with the ability to follow up on actions, apply team processes and quickly adjust to changing priorities across multiple meetings
