Job Description: 

MCI Benelux is looking for an enthusiastic Senior Association Coordinator to support and coordinate the delivery of services for several professional associations, with a strong focus on medical and healthcare communities.

At MCI Benelux, we don’t only “service” associations – we partner with them. As Senior Association Coordinator, you will contribute to the smooth coordination of governance, events, education, communications, and membership-related activities, working closely with volunteer leaders, and MCI’s multidisciplinary teams.

This role is ideal for someone who enjoys hands-on coordination, client interaction, and ownership of deliverables, and who wants to grow their responsibility within an agency environment.

 

The Senior Association Coordinator tasks include the following but are not limited to:

 

  1. Account Coordination & Ownership
  • Coordinate a portfolio of associations, each with its own structure, priorities, and activity calendar.
  • Act as a key operational point of contact for clients, in close alignment with the MCI leadership team.
  • Ensure all contracted activities are delivered on time, within scope, and to expected quality standards.
  • Maintain a clear overview of deliverables, deadlines, and dependencies across accounts.

 

  1. Governance & Volunteer Support
  • Support the preparation, logistics, and follow-up of Board, committee, and governance meetings.
  • Draft agendas, minutes, action lists, and follow-up documentation.
  • Provide day-to-day support to volunteer leaders and committees, ensuring continuity and clarity.

 

  1. Operational Delivery & Coordination
  • Coordinate the delivery of events, education programmes, communications, publications, and working groups.
  • Liaise with internal MCI teams and external suppliers to ensure smooth execution.
  • Identify risks or challenges early and escalate them when needed.
  • Support on-site delivery at key meetings and events when required.

 

  1. Financial & Administrative Support
  • Support budget tracking, invoicing, and financial follow-up for assigned accounts.
  • Contribute to client reporting and internal status updates.
  • Support annual planning and activity roadmaps under guidance.

 

  1. Membership, Community & Volunteer Engagement
  • Support membership operations and member communications.
  • Support committees, task forces, and volunteer groups with structure and continuity.
  • Ensure volunteers feel supported, informed, and respected, even when conversations are difficult.
  • Keep the community engaged, informed, and moving forward.

 

Who we’re looking for

You likely bring:

 

  • Experience coordinating associations, projects, or complex client accounts.
  • Exposure to medical or healthcare associations is an asset.
  • Confidence interacting with Boards, senior volunteers, and executive stakeholders.
  • Experience managing multiple workstreams or projects simultaneously.
  • Basic understanding of budgets, reporting, and operational processes.

Eligibility to work in Europe and fluency in English are essential; other languages are considered an asset.
