Job Description: 

Job Objective:

The Coordinator is responsible for the day-to-day administrative work for two association clients, the International Police Mountain Biking Association (IPMBA) and the Society of Wetland Scientists (SWS), serving as the primary point of contact for all members.

 

This is a great opportunity to get your foot in the door and work with mission-driven associations.

 

Main Responsibilities

  • Supporting Board and multiple committees (drafting agendas when required, creating meeting minutes when necessary, roster maintenance, meeting scheduling and occasional in-person meeting logistics).
  • Processing membership and certification applications including batching and invoicing.
  • Serving as the main point of contact for all member inquiries (phone, contact form, email).
  • Assisting with virtual and/or onsite association events with registration desk, ticket management for special events and some speaker logistics.
  • Fulfilling association “store” orders
  • Managing webinars including running day-of program on Zoom.
  • All other duties as assigned

 

Job Requirements

  • Bachelor’s Degree preferred
  • Excellent communication skills (written & oral)
  • Outstanding organizational and collaborative skills
  • Rigorous attention to detail
  • Experience or interest in membership associations, public charities, accreditation services and events management a plus
  • Confidence interacting with senior-level executives
  • Efficient and effective in an environment with numerous tight deadlines on a variety of projects
  • Ability to work autonomously
  • Proven sense of initiative and ownership

  • Demonstrated ability to succeed in fast-paced work environment.
  • Demonstrated ability to provide excellent customer service
  • Applicant must be extremely organized, diligent, able to multi-task, and operate with only the highest degree of integrity.
  • Autonomous mindset with a desire to learn and understand new things.

 

Technical Skills

  • Technical proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), general computing skills, and the Internet.
  • Experience with the following platforms preferred:
  • Association Management Systems such as GrowthZone, RE: Members (formerly Impexium), YourMembership.com, iMIS, for example
  • Ability to quickly learn database functions
  • Zoom and Teams: Scheduling and producing meetings and webinars
  • Formsite or similar web-based form submission software
  • Surveymonkey or similar web-based survey software
  • Doodle polling or similar web-based scheduling software
  • Smartsheet or similar web-based project management software

 

Additional Requirements

  • Flexibility to travel 2-4 times per year to client events.
