HOUSING MANAGER

POSITION OVERVIEW

You will serve as a member of the Account Management Team within the Convention Division. The Housing Manager will work in concert with the Housing Executive to ensure all tasks and client requirements are implemented according to guidelines established. The primary role is to manage the hotel contracts and inventory needs of all assigned conferences, while providing operational support to the sales team in the absence of the Housing Executive. Account teams are comprised of a two-person team, Housing Manager and Housing Executive.

  • Bachelor’s Degree or equivalent
  • Must have two years’ hotel or hospitality industry experience
  • Working knowledge of hotel contractual conditions and policies
  • Proficiency with Passkey

PRIMARY RESPONSIBILITIES

 

Responsibilities for this position include but are not limited to:

  • Review of hotel contracts to become knowledgeable on contract items throughout the event operations. Create event start up materials. Complete contract checklist by hotel, block breakdowns as defined in hotel contract and per the client request
  • Set-up housing portion of show in One System Plus, our proprietary web-based tool. i.e. Hotel loads, building of all sub-blocks, amenity charts etc.
  • Complete all welcome letters and rate verification forms and distribute to the hotels within your event blocks. Assign logins/passwords for hotels to view online pickup reports. Ensures rate verifications forms have been returned and signed prior to show opening
  • Establish incremental and cut-off dates, advise Contact Center, Accounting & IT (for web closings)
  • Responsible for maximizing inventory for daily management of hotel blocks to ensure availability of sell through dates while recognizing any challenges with the block pattern. Communicate with the Housing Executive, Contact Center and Sales on inventory challenges and or change in inventory needs
  • Establish oversell percentage for each conference by hotel using historical data or show facts. Work in tandem with the Housing Executive to effectively manage the oversell throughout event operations. Creation and update of oversell reports, hotel contact information and hotel cutoff worksheets. Update oversell as it occurs keeping client and sales dialed in
  • Communicate with On Site Manager with regards to any oversell that has not washed prior to onsite operation
  • Manage inventory daily to ensure availability at all times. Secures additional inventory at block hotels and make all updates in One System Plus. Ensure all inventory needs are communicated and confirmed in writing with hotels
  • Process inventory requests and advise Contact Center of denied/approved requests
  • Establish cut off procedures, based on contract language, for each hotel and communicates MCI’s expectation of rooming list process and return date
  • Work in tandem with the Housing Executive prior to cut off for release of inventory (specialty client blocks). Release inventory and updates oversell accordingly
  • Perform hotel cut offs, send lists to hotels for data entry. Follows up to ensure lists are received, with the Housing Executive
  • Work with accounting to ensure timely delivery of deposits and deposit summaries to hotels
  • Work with onsite coordinators/Onsite Manager for the Pre-reconciliation of hotel rooming list, then provide discrepancies back to hotel prior to final cut off in tandem with Housing Executive
  • Assist with post show reporting
  • Attends client meetings/conference calls where appropriate
  • During the absence of the Housing Executive, communicate with clients on requests and event status
  • Send weekly show analysis and reporting to client in the absence of the Housing Executive
  • Update pace reports weekly in the absence of the Housing Executive
  • Work with marketing to establish timelines and content to send to our marketing team. i.e. Social media and email blast

QUALIFICATIONS

  • Bachelor’s Degree or equivalent
  • Must have two years’ hotel or hospitality industry experience
  • Strong decision making and judgement skills to make inventory commitments
  • Professional written and verbal communication skills
  • Multi-task oriented
  • Exceptional organizational skills and time-management skills
  • High attention to detail

COMPETENCIES

  • Working knowledge of hotel contractual conditions and policies
  • Experience in hotel sourcing and contract negotiations preferred

TECHNICAL SKILLS

  • Proficient in Passkey
  • Proficient with Microsoft Office

 

TRAVEL

  • Available for moderate travel (25%-30%)

 

PHYSICAL REQUIREMENTS

Must be able to:
•    remain standing or sitting in a stationary position for many hours per day onsite
•    occasionally lift, move or carry boxes weighing up to 50 pounds
•    frequently move about inside a facility space.
