Job Description: 

JOB OBJECTIVE         

The manager of education and programs is responsible for the delivery of the education events and programs of APHON. Success requires expert coordination and collaboration with the executive director, the department senior manager, volunteer leaders and subject-matter experts to achieve desired business results. A critical component also includes working with the eLearning, eCommerce and event technology platforms tied to this area. #LI-Remote

 

MAIN RESPONSIBILITIES                  

This role directly supports the pediatric hematology/oncology nurse in elevating their practice and optimizing outcomes for children, adolescents, and young adults with cancer and blood disorders and their families.

Strategic Program Delivery & Operational Excellence

  • Lead the delivery of APHON’s education events and programs, ensuring alignment with business objectives.
  • Collaborate with the executive director, senior manager, volunteer leaders and subject-matter experts to achieve desired outcomes.
  • Ensure high-quality service and member engagement through expert coordination and execution.

Education Program & Accreditation Management

  • Manage Nursing Continuing Professional Development (NCPD) hours, ensuring compliance and accurate tracking.
  • Prepare documentation for annual accreditation reports for the ANCC Commission on Accreditation.
  • Coordinate ILNA credit hours with the Oncology Nursing Certification Corporation.

Committee Liaison & Volunteer Support

  • Serve as primary liaison to the ACE Center Committee and secondary liaison to the Conference Program Planning and Chemotherapy Biotherapy Committees.
  • Support committee chairs with scheduling, meeting facilitation, minutes, collateral creation, roster maintenance and delivery of action items.
  • Maintain committee archives and ensure smooth communication and documentation flow.

Flagship Program Oversight

  • Manage APHON’s Chemotherapy/Biotherapy Provider Program, including engagement with 900 instructors.
  • Oversee annual instructor verification and registration of approximately 400 courses.
  • Provide technical and speaker support for quarterly town halls, virtual courses and annual live courses.

Conference & Event Management

  • Contribute to planning and onsite execution of APHON’s annual conference.
  • Manage abstract submissions, course descriptions, speaker agreements, evaluations and poster/paper logistics.
  • Ensure a seamless technical and digital experience for attendees.

Virtual Education Exchange

  • Lead the execution of the Spring Education Exchange, including speaker coordination, session documentation, evaluations and platform management.
  • Support the organizing task force and maintain website content for the event.

Webinars & Product Development

  • Support committee-led webinars to maintain APHON’s standards and brand consistency.
  • Assist in the development of new educational products and publications in collaboration with the Education Task Force.

Technology & eCommerce Systems

  • Train on and manage the eCommerce system, including process flows, customer data, operations tickets, reporting and data privacy.
  • Collaborate with technical teams to ensure smooth delivery of digital education products.

Reporting & Documentation

  • Prepare data and reports for month-end close, board meetings, executive committee sessions and presidential meetings.
  • Create presentations, handbooks, procedure manuals, forms, surveys and other documentation.

Marketing & Communications

  • Support website updates and marketing communications for all relevant education programs and events.

JOB REQUIREMENTS                          

  • Bachelor’s degree or equivalent.
  • 6+ years of experience in a similar position or proven track record in management in an association/non-profit environment or commercial education organization.
  • 3+ years of experience leading committees of volunteer leaders.
  • Demonstrated management and facilitation of live and virtual education events.
  • Experience with credentialed education programs in medical associations and similar background a plus.

 

PROFESSIONAL AND LEADERSHIP COMPETENCIES   

  • Knowledge of association management operations.
  • Experience with education programs for the professional adult learner.
  • Proven skills working in a matrixed environment managing multiple projects and programs at a time.
  • Ability to develop project management plans and deliver to deadlines.
  • Demonstrated success working between people and technologies to derive the best out of both.
  • Competency in communications and writing.

 

SPECIFIC TECHNICAL SKILLS        

  • Association management database and/or CRM platform
  • eLearning platform
  • Cadmium or similar all-inclusive platform for abstract/poster/speaker management and virtual conference experiences
  • Understanding of academic and scientific writing styles and APA7 formatting a plus
  • Microsoft Office suite products including advance use of Teams and Copilot
  • Smartsheet or other project management tools
  • WordPress or similar website platforms
  • Gravity forms, survey design or other similar platforms

 

ADDITIONAL LOCAL REQUIREMENTS                    

  • Travel to APHON’s Annual Conference once a year in September is required.
  • Travel to other cities may be required for board or planning meetings, but unlikely more than one or two times a year for one or two nights at a time
