We are an independent global marketing communications group with a human‑first approach. We connect strategy, creativity, technology and operations to help brands and organisations grow with purpose. Our global network supports more than 1,200 clients across 34 countries, backed by over 35 years of experience. Under the mci group umbrella, our agencies bring together world‑class talent in strategy, creative development, account leadership, technology, production and research to shape meaningful, lasting impact.
MCI Benelux SA is looking for an Event Tech Coordinator (G1), who works closely with the Corporate Division Director, the Senior Event Coordinator and the wider M&E team.
You will lead the Cvent build of registration websites and mobile apps (with senior support on complex projects), coordinate the full delegate journey — from registration through hotel allocation, transfers and onsite check-in — and act as a point of contact for clients on the digital and delegate side of each project.
Key responsibilities
Cvent & event technology
- Design, build and maintain event registration websites, email campaigns and mobile apps in Cvent, working on several concurrent projects
- Manage registration processes and attendee databases (data cleansing, segmentation, GDPR-compliant handling)
- Test sites before go-live and troubleshoot issues pre-event and onsite to ensure client success
- Deliver pre, during and post-event analytics and reports
Delegate management
- Coordinate the end-to-end delegate journey: registration, hotel allocation, transfers, dietary and accessibility needs
- Liaise with hotels, DMCs and transport suppliers; manage rooming lists and arrival/departure manifests
- Handle delegate communications (invitations, confirmations, reminders) and support onsite check-in and badge production
What we are looking for
Must have
- 2–4 years of experience in events, MICE, hospitality or digital project coordination
- Hands-on experience with Cvent or similar event-tech / registration platforms (Aventri, EventsAir, Bizzabo, Splash, RainFocus) OR proven web-building experience (WordPress, Wix, Squarespace, HTML/CSS) and willingness to learn Cvent quickly
- Professional working proficiency in English (C1 minimum)
- Strong attention to detail and ability to manage several concurrent projects under tight deadlines
- Eligible to work in the EU
Nice to have
- Solid Microsoft Excel skills (pivot tables, VLOOKUP/XLOOKUP, reporting)
- Basic HTML / CSS to customise registration pages and emails
- Additional languages are a plus (Spanish, French, German, Italian or Portuguese)
- Experience supporting events onsite (badge printing, check-in apps, kiosk setup)
Who you are
- Tech-curious and service-minded — you think about the delegate experience first and the tool second
- Proactive — you anticipate issues before they reach the client
- A clear, calm communicator with both internal teams and external suppliers
What we offer
- A dynamic and international work environment with multicultural colleagues and clients from different countries
- A competitive salary package
- Continuous training in Cvent and other event-tech platforms
- Real career growth opportunities within M&E and across MCI's global network
