Project Coordinator - Healthcare

 

We are looking for a highly motivated and detail-oriented Project Coordinator to join our Geneva-based team within the Healthcare Business Unit. This role offers a dynamic mix of responsibilities: you will independently manage selected events (e.g. mid-sized meetings), while also supporting senior Project Managers on more complex or large-scale international events.

This position is ideal for someone with a strong foundation in event logistics, excellent organizational skills, and the ability to navigate compliance requirements specific to the pharmaceutical industry.

 

Your responsibilities:

Leadership & Relationship Management 

  • Maintain a positive, solutions-focused attitude within project teams.
  • Support and, when required, lead on-site delivery, including supplier and team coordination.
  • Take ownership of specific project elements while working in tandem with Project Managers on large accounts.
  • Represent MCI at industry events, exhibitions, and social engagements as needed.

 

Project Management 

  • Independently manage smaller-scale events from planning through execution.
  • Support Project Managers on high-profile, complex events through:
    • Venue and supplier coordination
    • Registration and accommodation management
    • Travel arrangements and logistics tracking
  • Help draft and present client proposals and event concepts.
  • Ensure operational and financial delivery meets established timelines, compliance guidelines (pharma-specific), and client expectations.
  • Participate in internal reporting, timeline monitoring, and administrative support for key deliverables.
  • Assist in gathering client feedback and incorporating insights into future planning.

 

Financial Management 

  • Support budget development and tracking for assigned projects.
  • Assist with invoicing, cost control, and final reconciliation processes under Project Manager guidance.
  • Ensure all financial documentation aligns with MCI and client requirements.

 

Your profile :

At least 3 years of experience in an event agency or a similar client-service role; experience in the pharmaceutical sector and compliance-driven events (e.g. HCP engagements, congresses, advisory boards) is a strong asset.

Familiarity with global accounts and associated compliance/reporting workflows is an advantage.

Fluency in English and French; additional languages are a plus.

Proficient in Microsoft Office Suite; experience with event management tools is beneficial.

Excellent organizational, planning, and multitasking abilities.

Clear and professional communication skills, both written and verbal.

Strong team collaboration combined with the ability to work autonomously on assigned tasks.

Calm under pressure, with a proactive, problem-solving mindset.

Willingness to travel and support events on-site as required.
