Job Title:  M&E Event Coordinator

Job Description: 

MCI Benelux SA is looking for an enthusiastic Event Coordinator who will work within the Meetings & Events Team to deliver national and international events.

 

Project Management Assistance 

Assist the Manager to deliver projects/events from A to Z (design, plan, organise, deliver online or offline and measure results and impact) by effectively creating and executing against strict project timelines based on priorities, resource availability, and other project requirements (i.e., budget, event management tools,..).

 

  • Assist the Senior Project Manager/Event Manager to deliver face-to-face events from A to Z (design, plan, organise, deliver, measure results and impact)
  • Execute the project or part of it following strict project timelines and clients requirements (i.e., budget, event management tools, etc.)
  • Ability to set-up and coordinate virtual event platforms, web conferences and live streams
  • Ability to coordinate fully/partially the event life cycle from brief taking to reconciliation (i.e.: utilising the various virtual platforms, script development, event logistics coordination, etc.), or an entire project (i.e.: low complexity)
  • Assist with all source project-related third-party suppliers appropriately and effectively, in line with MCI’s procurement guidelines
  • Advocate a high level of service attitude and professionalism, which includes industry knowledge and understanding
  • Prioritise daily tasks and project assignments
  • Provide relevant reporting to multiple stakeholders
  • Self-management without constant intervention from a Senior Project Manager/Event Manager
  • Ensure operational excellence and be 'Quality Obsessive'

 

Finance Support

 

  • Provide full support to the Senior Project Manager/ Event Manager on all financial processes related to the project/event budget(s).
  • Capability to build and manage low-complexity event budgets and financial reconciliations
  • Adhere to existing SoPs and financial guidelines

 

Communication 

 

  • Co-articulate and revise all communication linked to the event with the client (i.e.: speaker briefing, script development, e-blasts, website content, etc.)
  • Co-creation of event websites according to the given instructions (i.e.: content, speaker, registration)

 

Admin, IT & Tools

 

  • Demonstrate effective set-up and usage of available event management software (e.g.: Aventri, Cvent, EventsAir, TEAMS, Slido, etc.), virtual event platforms (such as MeetYoo, Swapcard, SpotMe), web conference tools (such as WebEx, Zoom, Interactio, Kudo)
  • Respect of the GDPR/IT regulations related to events and all connected activities
  • Master the systematic use of mci group & other available templates, tools & IT systems
  • Respect EMAS principles and act as an ambassador

 

Your Profile

 

You are a great match if you…

  • are eligible to work in the EU
  • are fluent in English (verbal and written); any additional European language will be of advantage
  • hold a Bachelor or Master’s degree in Business Management, including but not limited to Event, Hospitality, Tourism Management and Corporate communication or other relevant studies
  • have a minimum of two (2) years’ experience in a similar function or relevant industry
  • are assertive, proactive, client-centric
  • are a team player but also enjoy working independently
  • have an eye for detail and are problem-solving minded
  • are well organised, flexible, agile and committed especially in busy periods
  • are proficient in the Microsoft Office package (Word, Excel, PPT, TEAMS)
  • are a quick learner and easily adapt to a fast-paced environments
  • are able to travel all around the world
  • are ready to join the team rapidly
