THE OPPORTUNITY
The Conference Executive is responsible for driving and supporting project development for the Association Management Consultancy (AMC) team within timelines and budget, maintaining client expectations while achieving target profit. This role involves coordinating all aspects of conference planning and execution, ensuring high-quality congress production and delivery, adhering to MCI's best practices. Successfully executing projects annually, from proposal to final reconciliation, aligning with client requirements.
THE WORK
Project Management (45%)
- Onsite management of physical events across the Asia Pacific region.
- Plan and monitor project timelines and priorities; and articulate these to the relevant stakeholders effectively
- Be responsible for ensuring that the conference timelines are met and within the agreed budget
- Manage and prepare all necessary logistics for the onsite handling of speakers and VIP's
- Manage checklists and procedures as part of a constant evolution towards excellence
- Establish a Sales Project with all related printed materials contact researching and selling under the supervision of the Project Manager
- Support and follow up with sponsorship sales and sales fullfilment activities
- Monitor and maintain quality and adhere to processes, identifying and contributing to their improvement
Communications and Relationship Management (20%)
- Collaborate on all event-related communications with the client (e.g. speaker briefing, scripts, email blasts, website content)
- Co-create event websites with the internal team, following specific guidelines (content, speakers, registration)
- Offer professional advice to facilitate the decision-making process
- Provide excellent customer service and quality delivery
- Proactively report on development of projects to the Project Manager
- Liaise with signage companies on the stage and back drop designs
Finance (20%)
- Support Project Manager on all financial processes related to the projects
- Assist in final reconciliations of all projects handled
- Adhere to existing SOPs and financial guidelines
Admin, IT and Tools (15%)
- Conduct operational and administrative functions of all projects handled
- Demonstrate effective set-up and usage of available event management software and capability
THE CONNECTION
- Reporting directly to the Deputy Director and works closely with the AMC team internally
THE MUST HAVE
- Must be comfortable working in a fully remote setting
- Flexible and adaptable to working in different time zones
THE GOOD TO HAVE
- Qualified candidates must be fluent in English, with strong written and oral communication skills. Proficient in other Southeast Asia language, is a plus
- Degree/Diploma in related field with 2 to 4 years of relevant work experience (such as, but not limited to, professional association/education/event management)
- Excellent skills in Microsoft Office Suite (Word, Excel, Powerpoint, Outlook) required
- Self-starter who can set priorities and work well independently and in a virtual team
- Strong organizational, problem solving and time management skills with a can-do attitude
- Ability to manage various projects simultaneously
- Demonstrated interpersonal skills, self-motivated and ability to work with minimal supervision
- Ability to be very detail oriented
