Job Description:
Event Project management focused on Registration area: client face and report; contact and management of internal and external suppliers; project execution to ensure quality and client satisfaction; organized and committed to deadlines with team and client; Development of presentations (in English, Portuguese and Spanish) and reports in PowerPoint; interacting and ensuring information flow along team and client. Responsible for all matters on Registration area: floorplans, staffing needs, production schedule, etc. To order and secure equipment needed for badge pickup and help desk areas (branded lanyards, lanyard trees, trash cans, office supplies, lost & found, shred bins, etc.) Develop playbook, production schedule, and training documentation for the badge pickup workstream. Advise on ambassador staffing needs and signage plan for badge pickup area Coordinate registration platform on shipping logistics to ensure registration platform equipment arrives on time. Manage the Session Scanning workstream - compile session scanning matrix, gather ancillary event scanning needs, lead onsite session QC with content and registration platform teams Oversee onsite badge pickup operations on setup day and event day.
Role:
- Pair work with PM Master and other workstream leads;
- Responsible for all Registration area on 3 events (SP, BOG and CDMX);
- Quotes management and Internal MCI processes;
- Responsible for event operation plan, execution and management. (Registration perspective)
- Organize and manage operations processes (schedules, check lists, cash and flow) - Negotiations with vendors, manage deadlines and schedules to be accomplished. Responsible for training and lead on site freelancers. (Registration perspective)
- Tools: “Airtable”, “Planner”, schedules management. “Planner” control to accomplish the tasks on deadlines (tasks schedule from weekly meetings with client). “Airtable” control to accomplish the tasks on deadlines (tasks schedule with client to team)
- Bring suggestions and ideas to the project respecting the standards that must be accomplished. Bring solutions.
- Help to built and organize de information Event – Operational perspective.
Job Requirements:
- Experience in Events Management, planning and production– preferable corporate events – Experience in Registration management;
- Knowledge in Excel spreadsheet and PPT presentation;
- Advanced English and Spanish - must be able to conduct a meeting and built a presentation on both languages;
- Process oriented – must be an organized person and committed with schedules and deadlines;
- Some knowledge in planning tools, such as Planner;
- Lead vendors interaction and negotiation (Expo and Branding perspectives)
Complementary information:
- Contract as PJ (salary + perks)
- Start in May/2025
- Home office with at least 2 meetings (sometimes more) per months in the office (Morumbi region). On site during site visits and event.
