Job Title:  Events Coordinator

Job Description: 

 

Objective     

To serve as event coordinator for variety of association and/or corporate clients.  #LI-Remote

 

Compensation: $24.00 - $28.85 hourly

 

Main Responsibilities:           

  • Serve in a support role to event manager on an array of events ranging from fully in-person, virtual or a hybrid model
  • Assist with event logistical coordination for events
  • Source ancillary services such as photographer, décor, temporary personnel, etc.
  • Speaker management, gather speaker requirements, disseminate information for client websites and event app, assist with communications and onsite speaker management
  • Assist with exhibit & sponsorship deliverable tracking and fulfillment
  • Source variety of event materials such as lanyards, tote bags, sponsorship items, etc.  
  • Work with department technologies and tools, virtual event platforms, registration platforms, exhibit floor module and event mobile apps, etc.
  • Build and maintain event mobile app for multiple clients (Cvent Attendee Hub)
  • Maintain registration and housing tracking reports
  • Manage VIP rooming lists, requirements, hospitality services
  • Coordinate department functions such as event supplies, shipping, event cancellation insurance, etc.
  • Actively participate in regular recurring client meetings.
  • Maintain department files and historical event documentation
  • Travel approx 20% to onsite to events, support onsite activations
  • Maintain department files
  • Other duties as assigned

 

Job Requirements:

  • 1-5 years of event experience
  • Experience in association or corporate markets and multi-client environment preferred
  • Cvent Attendee Hub, Cvent Registration, Map Your Show or other event technologies, a plus
  • VIP customer service, ability to deliver white glove service
  • Strong oral and written communication skills and ability to interact in a firm but highly collaborative fashion
  • Team focus but independent judgment and vision
  • Solutions-oriented, creative problem solver
  • Must have the ability to prioritize and manage multiple projects and deadlines in a fast paced, dynamically, changing environment.
  • Eager to learn with a desire for career growth in the events industry

Other Requirements:

  • Travel: Approximately 20%, chiefly 4-5 day blocks of time
