We are seeking a dynamic and detail-oriented professional to join our team as an Exhibits and Events Manager. This role is pivotal in delivering exceptional exhibit hall experiences, managing operations with precision, and ensuring the fulfillment of sponsor and exhibitor benefits. You will lead comprehensive exhibit hall management, including floorplan design, vendor coordination, and the creation of exhibitor kits, while serving as the primary point of contact for exhibitors and sponsors. The ideal candidate will excel in providing VIP customer service, maintaining accurate deliverables tracking, and sourcing creative sponsored items. Additionally, you will play a critical role in budget management, ensuring cost-effective solutions that align with client goals and event success.

Job Responsibilities

•    Comprehensive exhibit hall management, including floorplan design and layout, understanding of general rules and regulations, management of show decorator for all signage and structures.
•    Serve as exhibitor and sponsor point of contact for operations and fulfilment, respond to inquiries in timely fashion, providing VIP customer service
•    Draft and send pre-event communications to exhibitors and sponsors
•    Management of and day to day, working with the exhibit management tool, Map Your Show
•    Work with GSC to develop Exhibitor Kit
•    Work with Exhibit/Sponsorship sales team to manage fulfilment of benefits. Responsible to draft, maintain and manage the deliverables tracking grid
•    Manage signage and structural orders with GSC
•    Source sponsored items such as tote bags, lanyards, and other various items
•    Evaluate and maintain event budgets against pre-set spending limits. Provide clients with accurate budget estimates pre-event and ensure post-event billing reflects these estimates.
•    Negotiate GSC and other vendor contracts that pertain to the exhibit hall, meeting MCI standards for each client event.
•    Maintain department files
•    Other duties as assigned

 

Job Requirements

•    3-5 years of progressively responsible exhibit management experience
•    Experience in association market and multi-client environment preferred
•    VIP customer service, ability to deliver white glove service 
•    Strong oral and written communication skills and ability to interact in a firm but highly collaborative fashion
•    Team focus but independent judgment and vision
•    Solutions-oriented, creative problem solver
•    Must have the ability to prioritize and manage multiple projects and deadlines in a fast paced, dynamically, changing environment.
•    Eager to learn with a desire for career growth in the events industry

 

Professional and Technical Competencies
•    CMP or CEM preferred
•    Strong knowledge of exhibit hall operations, floor plan design, and event logistics
•    Skilled in collaborating with General Service Contractors (GSCs) and managing tools like Map Your Show
•    Ability to create accurate budgets, monitor expenses, and ensure alignment with pre-set limits
•    Proficient in tracking deliverables, maintaining timelines, and ensuring fulfillment of sponsorship agreements
•    Exhibitor Relations: Exceptional customer service skills to act as the primary point of contact for exhibitors and sponsors
•    Communication: Expertise in drafting clear, professional pre-event and post-event communications
•    Creative Problem Solving: Ability to source innovative sponsored items and solutions that meet branding goals
•    Attention to Detail: Ensuring all signage, structures, and sponsorship benefits are executed flawlessly
•    Collaboration: Works effectively with cross-functional teams, including sales, design, and operations
•    Relationship Building: Establishes trust and rapport with clients, vendors, and internal teams
•    Flexibility: Thrives in fast-paced environments and adapts to evolving event requirements
•    Decision-Making: Makes informed, efficient decisions under pressure to meet event objectives

•    Map Your Show or other exhibit management technology experience, a plus
•    Event Tools Expertise: Experience with exhibit management tools like Map Your Show and proficiency in Microsoft Office Suite
•    Data Management: Ability to track, analyze, and report on event data and deliverables
