CSU Assistant

The Customer Service Unit is part of the PCO (Professional Congress Organisation Business Unit) and the AM&C (Association Management & Consulting Business Unit).

 

At the CSU our main tasks can be divided into three main areas of responsability:

  1. Registration Management

  2. Programme Management

  3. Membership Management

 

During your internship you will be assisting and collaborating with the team in all of the above roles.

Here below you will find further insights into each section:

 

Registration Management Assistance:

Together with your peers and mentor(s), you will be responsible of setting-up and coordinating the registrations for a variety of projects. You will be responsible for all delegate communication and will be replying to queries our participants might have during the registration process (i.e.: invoice adjustments, cancellations, refunds, etc.). If the project allows it (physical vs virtual event), you will have the opportunity to travel onsite to experience the event with your colleagues in real and welcome and assist the participants further during the conference. At the CSU you will get the chance to be the first and last person participants will be in contact with throughout their overall conference experience.

 

Programme Management Assistance:

Within the CSU we have a dedicated team that works on the preparatory work around the build of the entire programme of a conference. For this we work closely together with our clients. You will be partly responsible for the speaker management that includes: making sure that speakers confirmed and signed their speaker agreement, collecting all the deliverables (picture, bio, etc.), assisting with virtual events (if any), welcoming speakers onsite, making sure that their presentation is correctly received and uploaded to the Speaker Ready Room. Together with your peers and mentor(s), you will have the opportunity to liaise with the AV partner onsite and/or offsite to ensure the quality of the conference content.

 

Membership Management Assistance:

As the CSU is also collaborating closely with the AM&C Business Unit, you will be assisting with the membership management of different Associations. These tasks include but are not limited to importing and approving new members, being in contact with them to handle any questions, follow-up on payments, financial reporting, etc.

Your Profile:

  • You must be an EU citizen (or hold a valid VISA/permit for students from the UK, post Brexit requirements)

  • You are available for at least 6 months, ideally 12 months 

  • You must be an undergraduate or student undertaking event, or hospitality management or business related study and require an internship as part of your course

 

Language skills:

  • Fluency in English is a must

  • Ideally fluency in a 2nd EU language

 

Skills:

  • Excellent written and verbal communication skills

  • Ability to persuade and negotiate

  • Problem-solving skills

  • Strong inter-personal skills including cross-cultural understanding

  • Excellent presentation skills

  • Confident telephone manner

  • Able to understand profit and loss calculations and basic business finance

  • Excellent analytical skills and attention to detail

  • Strong knowledge of Microsoft office applications

 

In return, the CSU will allow you to explore the world of events, be the main point of contact for members, participants and assist your colleagues with the financial closure of events. In short, you will experience how a conference is managed, from a Customer Service Unit stndpoint, througout the entire event life cycle.

 

Remuneration:

  • 700€ housing allowance per month (for international students only)

  • Public transport pass (STIB, value +/- €49.00 per month)

  • In addition to the Belgian public holidays, an entitlement to one day paid leave per calendar month will be granted for the duration of the agreement. Should the student be working at MCI during the month of December, a number of days will be pre-allocated to the week between Christmas and New Year when the MCI Brussels office is officially closed.
