Position Overview
As the Conference & Exhibits Manager, you will lead the strategic planning and execution of conferences and exhibit programs. You’ll oversee all aspects of tradeshow/exhibit management, including planning logistics and onsite delivery, while managing cross-functional teams and vendor relationships. You will also have conference planning responsibilities which may or may not involve tradeshow management. Your leadership will ensure flawless execution, client satisfaction, and continuous improvement across all event touchpoints.
Roles and Responsibilities
Strategic Planning & Leadership

Lead end-to-end planning and execution of conferences and exhibit programs

Develop and manage event budgets, timelines, and critical paths

Collaborate with internal teams and external stakeholders to align event goals and deliverables

Provide mentorship and oversight to junior team members and volunteers
-
Maintain documentation standards including function sheets, minute-by-minute schedules, and budget reports
Exhibit Management

Evaluating venue suitability, supplier requirements, developing RFP documentation that incorporate client requirements but also venue regulations and branding opportunities for optimal impact

Oversee exhibit strategy, booth layouts, and vendor coordination

Manage exhibitor communications, materials distribution, and issue resolution

Ensure accurate fulfillment and delivery of client and sponsor giveaways

Supervise packing, shipping, and onsite setup of exhibit areas

Floorplan development to maximize our client’s requirements and their major partners.
Risk Management & Compliance

Anticipate and mitigate logistical, financial, and reputational risks

Ensure events meet legal, ethical, and inclusivity standards

Assess venue compliance requirements to minimize risks during planning and execution phases.
Marketing, Promotion & Negotiation

Crafting compelling messaging and outreach strategies

Securing favorable terms with vendors and partners
Onsite Execution

Lead onsite exhibit operations and work with the registration team to facilitate exhibitor involvement before, during and after the tradeshow.

Ensure all event elements are executed according to timelines and standards

Manage onsite teams and troubleshoot issues in real-time

Oversee booth setup, sponsor activations, and attendee experience
Post-Event Reporting & Analysis

Lead post-event debriefs and reporting

Analyze performance metrics and identify areas for improvement

Qualifications

Bachelor’s degree in hospitality, event management, business administration, or related field
-
Minimum 5 years of experience in event planning, registration, or exhibit management

Proven leadership and team management experience
-
Proficiency in Microsoft Office Suite (especially Excel and PowerPoint)
-
Experience with registration management software
-
Strong organizational, communication, and customer service skills
-
Knowledge of the MICE and Association industries, with practical insight into planning and execution of events and tradeshows (ranging in size from 500-2000 people) in the Toronto market

Bilingual English/French is an asset
-
CEM or CMP certification is a strong asset
